Operation Smile is a global non-profit organization that offers free life-changing surgery for children and adults suffering from facial deformities, more specifically cleft lip and / or palate.

Operation Smile South Africa is seeking to appoint a Patient Coordinator, based in the Western Cape.

Responsibilities:

Recruitment and patient associations:

Organize meetings with hospitals and clinics; organize meetings with chiefs and traditional authorities in the areas; find a contact person in each health center or village / village and establish a working relationship with them
Access existing community health worker structures, organize cleft recognition trainings for health workers, and organize the implementation of community cleft awareness programs
Collect data submitted by community health workers, chiefs, and patients / guardians in regional and national databases; send databases to Senior Program Coordinator weekly
Registry patients take their full names, their contact numbers and where they live (province, city, village) and the specifications related to transportation options for a mission.
Create a database of all contacts that Operation Smile has in each region, update weekly and send report to Senior Program Coordinator
Meet with regional corporate and NGO sponsors to establish partnerships focused on patient recruitment and / or sponsorship; strengthen relationships with organizations that refer patients to us
Surgical missions:

Assist the lead program coordinator with patient needs before, during and after the mission, including supplies, meals, transportation, and patient accommodation
Support and organize the transport of the patient to the mission.
Organize patient supplies for distribution upon arrival
Make sure food is delivered to patients and guardians on time
Make sure patients have water during the mission
Organize patient information sessions about what will happen the next day (selection, selection and announcement process, days of surgery)
Create patient return lists after patient announcement; make sure all patients have transportation home
Other duties:

Facilitate the integration of educational program initiatives in all provinces.
Create a World Care Patient Database (WCP) and help facilitate care with regional stakeholders
Travel with WCP may be required if necessary
Create a database of patient referrals and follow up regularly with local surgeons or partner organizations
Overall performance of the team:

Prepares for and actively participates in scheduled team meetings.
Prepares and actively participates in team reviews.
Updates all current working documents, including patient database, schedules and deadlines in the program areas for which you are responsible.
Requirements:

Bachelor’s degree
Database experience
Driver’s license
Experience in mobilizing community health care
Exposure to the medical field would be helpful
The experience of an NGO is a plus
Oral and written communication skills in English are required. Additionally, fluency in at least 1 South African vernacular is required
Computer skills (Microsoft Office required)
Ability to travel frequently throughout the country and potentially internationally
Self-motivated, able to plan ahead, flexible, adaptable under pressure with short deadlines
Ability to work after hours (on call), sometimes answering calls or emails early in the morning, late at night, or on weekends
Must have organization and time management skills and be able to prioritize requests efficiently and effectively
Ability to travel to remote areas.
